Terms of Service

By creating an account, downloading the TravlBox application, or otherwise accessing or using TravlBox (the “Service”), you confirm that you have read, understood, and agree to be bound by these Terms and our Privacy Policy, which is incorporated by reference.

If you are using TravlBox on behalf of an organisation, you represent that you have the authority to bind that organisation to these Terms, and “you” in these Terms refers to both you individually and that organisation.

TravlBox is a mobile application that lets you manage travel bookings in one place. Its current core functionality is:

• Email import. You forward booking confirmation emails to a TravlBox address. Emails are received via Twilio SendGrid and processed by our backend using AI language models (OpenAI, Anthropic, or Google) to extract structured itinerary data (flights, hotels, activities, and similar).
• Itinerary management. Extracted bookings are displayed as a single, consolidated itinerary — your source of truth for a trip.
• AI chat. You can ask an AI assistant questions about the content of your bookings (e.g., check-in times, flight numbers, confirmation codes). The AI reads from your stored itinerary data; it does not make bookings or changes on your behalf.

We are building additional features, including AI-assisted trip planning. Features described as “coming soon” are not yet available and are not part of the Service today.

You must be at least 13 years old (or 16 in the European Economic Area and the United Kingdom) to use TravlBox. By using the Service, you represent that you meet this age requirement. If you are under 18, you represent that you have obtained parental or guardian consent.

TravlBox supports Sign in with Apple and Sign in with Google for authentication. You are responsible for maintaining the security of your Apple ID or Google account and your device. You are responsible for all activity that occurs under your account, whether or not authorised by you.

You agree to notify us immediately at [email protected] if you become aware of any unauthorised access to your account. We are not liable for loss or damage resulting from your failure to maintain adequate account security.

This section governs your responsibility when forwarding email content to TravlBox, which is important given the personal nature of booking confirmations.

• You own the emails you forward. By forwarding an email to TravlBox, you grant us a limited, non-exclusive licence to process that email for the sole purpose of extracting and displaying trip information to you. This licence ends when you delete the relevant booking or your account.
• Forward only your own bookings.You agree to forward only booking confirmations for travel arrangements made by or for you. Do not forward emails containing other people's personal information without their knowledge and consent.
• Accuracy. We rely on machine parsing of email content. Extracted data may not always be complete or accurate. You remain responsible for verifying the details of your bookings directly with airlines, hotels, and other providers. Do not rely solely on TravlBox for time-sensitive or safety-critical travel decisions.
• No booking actions. TravlBox does not make, modify, or cancel bookings on your behalf. The Service is read-only with respect to your travel arrangements.

You agree not to:

• Use TravlBox for any unlawful purpose or in violation of any applicable law or regulation.
• Forward emails you are not authorised to share, or that contain third-party personal information obtained without consent.
• Attempt to reverse-engineer, decompile, disassemble, or otherwise derive the source code of the application.
• Attempt to gain unauthorised access to any part of the Service, its servers, or any connected systems.
• Scrape, crawl, or use automated tools to extract data from the Service without our prior written consent.
• Transmit any content that is malicious, fraudulent, or designed to interfere with the Service or other users.
• Misrepresent your identity or affiliation with any person or organisation.

We reserve the right to investigate and take appropriate action against violations, including suspending or terminating accounts.

The TravlBox application, including its design, code, branding, and all content we create, is owned by Ovearching AI, LLC and protected by intellectual property laws. Nothing in these Terms grants you any ownership interest in the Service.

Your travel data and the content of emails you forward remain yours. We claim no ownership over your personal trip information.

TravlBox is built on third-party infrastructure and services. By using TravlBox you acknowledge that:

• Infrastructure providers. Our backend API, Celery workers, and Redis job queue run on Railway. Our database and file storage run on Supabase. Our website is served by Vercel. Our DNS and edge routing is managed by Cloudflare. Disruption to any of these providers may affect the availability of TravlBox.
• Email infrastructure.Email forwarding is handled by Twilio SendGrid. Delivery of forwarded emails to TravlBox is subject to SendGrid's own service availability. We are not responsible for emails that fail to reach us due to SendGrid outages or delivery failures.
• AI / LLM providers. Email content extraction relies on large language model APIs provided by OpenAI, Anthropic, and/or Google. The accuracy of extracted data depends in part on these models. We are not liable for extraction errors caused by model limitations, changes to model behaviour, or provider outages.
• Third-party terms.Your use of Sign in with Apple is subject to Apple's terms and privacy policy. Your use of Sign in with Google is subject to Google's Terms of Service and Privacy Policy. Each infrastructure and AI provider operates under its own terms of service. We are not a party to your relationship with those providers and are not liable for their acts or omissions.

The Service is provided “as is” and “as available” without warranties of any kind, either express or implied. We do not warrant that:

• The Service will be uninterrupted, error-free, or available at any particular time.
• Email parsing will be accurate, complete, or free from errors. Booking formats vary widely and our systems may misread, miss, or incorrectly classify information.
• The AI assistant will provide accurate, current, or complete answers.
• Information extracted from your emails will match what your airlines, hotels, or tour operators ultimately honour.

Always verify critical travel details — particularly departure times, gate information, and reservation statuses — directly with the relevant provider before and during your trip. TravlBox is a convenience tool, not a substitute for your own diligence.

To the fullest extent permitted by applicable law, Ovearching AI, LLC and its officers, employees, and affiliates will not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of or inability to use the Service, including but not limited to:

• Missed flights, hotel bookings, or other travel arrangements due to inaccurate or missing data in TravlBox.
• Loss of data, bookings, or itinerary information.
• Reliance on AI-generated responses that prove incorrect.
• Unauthorised access to your account or data.

Our total aggregate liability to you for any claim arising out of or related to these Terms or the Service will not exceed the greater of (a) the amount you paid us in the 12 months before the claim arose, or (b) USD $50.

Some jurisdictions do not allow the exclusion or limitation of certain damages. In those jurisdictions our liability is limited to the fullest extent permitted by law.

You agree to defend, indemnify, and hold harmless Ovearching AI, LLC and its officers, employees, and affiliates from and against any claims, damages, losses, liabilities, costs, and expenses (including reasonable legal fees) arising from: (a) your use of the Service; (b) your violation of these Terms; (c) any email content you forward to TravlBox; or (d) your violation of any applicable law or third-party right.

By you. You may stop using TravlBox and delete your account at any time from within the app settings. Deletion removes your data in accordance with our Privacy Policy.

By us. We may suspend or terminate your access to the Service immediately, without prior notice, if we reasonably believe you have violated these Terms, if required by law, or if we discontinue the Service. We will endeavour to provide advance notice of service discontinuation where reasonably practical.

Sections 7, 8, 9, 10, and 13 survive termination of these Terms.

These Terms are governed by the laws of the State of California, United States, without regard to its conflict of law provisions. Any dispute arising under or relating to these Terms shall be resolved exclusively in the state or federal courts located in California, and you consent to personal jurisdiction in those courts.

If you are a consumer in the EEA or UK, you may also have the right to bring claims before the courts of the country where you reside, and nothing in these Terms limits that right.

We may modify these Terms at any time. When we make material changes, we will notify you through the app and update the effective date above. If you continue to use TravlBox after the new Terms take effect, you accept the revised Terms. If you do not agree to the new Terms, you must stop using the Service and delete your account.
